Events may serve a variety of purposes and occasions, including press conferences, information provision during corporate reorganisations, publication of quarterly and annual results, and new product launches.

We will help you plan, prepare and manage large Events by taking charge of the process so you can focus completely on your message and audience. You can choose to have the participants dial in themselves or have us call them. You give your presentation immediately after the introduction. The conference call usually ends with a Q&A session which we will manage for you.

Facilities

Our conferencing services provide an extensive set of facilities to help you turn your Event into a success. We facilitate Events for anywhere from 15 to more than 500 participants. We can also assist you with smaller Events and conferences. When you make your booking, we will be pleased to help you choose from the facilities available.


  • Book by telephone: To book a conference call, you can contact us at 0800 0156 (from outside the Netherlands +31 88 11 88 770). You will receive a confirmation e-mail containing the dial-in number, entry codes and other details.
  • Secure participation: Both you and the participants call the dial-in number at the agreed time and enter the unique entry code so as to ensure an easy and secure conference call.
  • International access: Reduce international call charges: participants from anywhere in the world can use a dial-in number in their country of residence.
  • Full support: We will manage your entire Event from beginning to end, including an optional Q&A session at the end. The Event can be conducted in both Dutch and English.
  • Consultation with the speaker(s): We will communicate with the speaker(s) during the Event using a separate line, so we can make impromptu changes during the Event at your request.
  • Event Viewer: You will have a comprehensive, at-a-glance view of all participants who sign up for the Q&A session.
  • KPN WebShow: Support your Event with a PowerPoint presentation to emphasise your message (also available for smartphones and tablets).
  • Registration Service: Participants sign up for the conference or Event in advance on a web page. Advantages:
    • Faster access to the Event.
    • You always have the correct personal details in the Q&A and on the list of participants.
  • Audio recording: An audio file of the Event will be available via a secure link after the Event. This is convenient, for example, for people who were unable to attend the Event. You can save the recording to your files, so you can be sure you are compliant with the law.

The following services are available at an additional fee:

  • Dial-out Conference Call: We call all individual participants, either simultaneously or one by one. Participants do not pay any dial-in charges.
  • Transcription Service: A verbatim report and minutes of the Event. The transcript is sent to you by e-mail.
  • Replay: You will also be able to listen to the audio recording for a period of one month by dialling a telephone number. This is a convenient solution for anyone who was unable to attend the Event.
  • Host Operator Service: We receive participants who dial in and then put them on hold. We register the names of the participants as soon as they join the meeting. These names are used for the participants’ report after the event and help to properly manage and coordinate the Q&A session.
Our Events are available in the following four fixed-rate packages: Small (15-100 participants), Medium (up to 200 participants), Large (up to 500 participants) and Mass (more than 500 participants). We also provide the option to pay for the Event by the minute. As part of this service, the above-mentioned facilities are available at an additional fee.

Frequently Asked Questions

Event Call is designed to communicate remotely by phone to a large group of people. This might include informing employees during a corporate reorganisation, presenting new products to distribution partners, publication of quarterly and annual figures, product launches, or an Investor Relations Call in which details on the company’s operating profits are provided to investors.

For Event Calls, all lines are set up by the KPN operator. Participants can choose to either dial in themselves or be called by us. The participants are automatically set to listen-only mode as you address them; if they have any questions, they can indicate this by entering a combination of keys on their phones. We then invite these participants to ask their questions one by one, ensuring that your message comes across while still leaving opportunity for interaction with your audience.

Conference calls can be used for meetings involving up to approximately 30 people. However, experience has shown that meeting with over 15 people has an adverse effect on the quality of the meeting, in which case we recommend our Event Call service. This service is perfect for when you need to disseminate information to large groups of people. We will manage the meeting from start to finish, so you can focus completely on your presentation.

By using the Registration Service. We will provide a web page where participants can register. Upon registration, all of the participants will receive a personal ID code to enter your Event. The advantage of this is that you know in advance who will participate in the Event Call. In addition, participants can dial in quicker, so you can start your presentation on time.

The fee you pay for an Event Call depends on several factors, including the number of participants, the duration of the call, whether people will be joining the meeting from abroad, etc. Please feel free to contact us for a no-obligation offer.

You can choose to have us call the participants individually, as experience has shown that this increases turnout. An additional advantage is that participants themselves don’t pay any dial-in charges.

You can have a written record made of your conference, where we record and subsequently transcribe it. This Transcription Service is available in both Dutch and English. Based on your preference, you will receive the transcript by e-mail within 1, 2 or 5 days.

Alternatively, you can also choose to receive an audio recording of the meeting. After your conference or event, you, as the organiser, will receive an e-mail link, where you have 30 days to listen to the recording. You can choose to make this link available to others. During the time the URL is available, you can download the recording and save it as an MP3 file.

Yes, you can. KPN WebShow allows remote presentations in real time via a secure internet connection.

Global Access dial-in numbers are available in more than 50 countries, giving international participants the opportunity to dial in at the local rate, saving them additional call charges.
